The main purpose of this position:
The Front Desk Manager's main responsibility is the operational control of reservation and reception activities in accordance with the policies and directives issued for the establishment. To this end, she plans, organizes and directs her department's human and physical resources, so as to create and maintain, in line with budget forecasts, a functional and personalized working climate, favoring the welcome and well-being of our customers.

List of main job responsibilities :

  • Prepare room occupancy forecasts and follow up on previous years.
  • Monitor and follow up on group bookings and major (group) customers.
  • Takes group bookings in close collaboration with the sales team.
  • Configures room rates, packages and special promotions in the computer system, in collaboration with the manager.
  • Shares responsibilities and participates in the work of the management committee, and monitors follow-up activities within its remit.
  • Coordinates activities with housekeeping services.
  • Controls the department's operating budget.
  • Responsible for up-to-date documentation, to be made available to customers.
  • Organizes the distribution (direct, mailing, etc.) of the hotel's promotional brochures.
  • Plans daily labor requirements with a view to controlling labor costs in accordance with company provisions.
  • Inspects equipment and facilities regularly to ensure consistent, efficient and safe service.
  • Supervises the quality of his team's work and develops safe and efficient work methods.
  • Motivate your staff and give them all the help they need to perform at their best;
  • Identifies the professional training needs of the staff under his/her responsibility in order to optimize the efficiency and productivity of their work.
  • Develops and maintains open working relationships and a stimulating climate with staff and other departments.
  • Encourages group work to develop team spirit.
  • Collaborates to maintain good communication between the front desk and other Ripplecove Inn departments.
  • Enforces discipline in accordance with regulations.
  • In collaboration with the Director, sets the department's annual objectives in terms of improving service quality.
  • Plans the department's human resources needs, participates in hiring and ensures a good quality of working life.
  • Initiates, trains and synchronizes the work of staff under his/her supervision so as to develop their versatility.
  • Fosters a work climate consistent with the management style favored by the company's management.
  • Writes and communicates all reports and/or minutes required by his/her immediate superior.
  • Performs all other tasks required by the nature of its function.

Working conditions :

  • Work is generally performed on variable shifts, during the day, evenings, weekends or vacations.
  • Work that can be carried out under pressure.

 Main working relationship :

  • Supervision: receptionist
  • Collaboration: sales team, management committee, room maintenance coordinator and all departments.

Skills and qualifications :

  • Demonstrate accuracy, thoroughness, good judgment, team spirit, fairness, organization and knowledge of customer service.
  • Human resources management skills (conflict management, team management, etc.)
  • Good sales and negotiation skills
  • Bilingual (French and English)
  • Knowledge and application of labor standards, basic occupational health and safety principles, and hygiene and sanitation rules.
  • Excellent logistics and communications skills.
  • Leadership and decision-making skills.
  • Written and verbal communication skills.

Experiences and schooling :

    • A minimum of three (3) years' experience in the hospitality industry, as well as experience in reception and supervision.
    • A college diploma (DEC), preferably in hotel management and/or a university degree (BACC) in hotel administration or management is an asset.
